CANCELLATION POLICY
31 days prior to arrival a refund of your deposit less the $100.00 cancellation fee. Less than 30 days prior to arrival no refund. No changes may be made within 72 hours of arrival. All deposits will be forfeited. Cancellation policy is subject to change without notice.

All holiday, special events and October reservations have a 60 day cancellation policy.
Our office is located AT 1338 Parkway, suite 8 on the Parkway in Sevierville. Office hours vary seasonally, please call the office to verify hours for your check-in date.

CHECK-IN POLICY
Check in is at 3:00 PM (4:00 PM on holidays or busier seasons.)
Please call the office for after hours checks-ins. Guests assume all risk for “late arrival.” There is no charge for late check-ins unless management is called back to the office to assist guest. There will be a $50.00 charge added to your reservation.

The person making the reservation must be at least 21 years of age with valid ID and credit card.
Deposits maybe paid with personal or business checks 31 days prior to check-in. NO personal or business checks upon check-in.

Black Bear Cabins and Weddings my use any funds received from guests immediately upon receipt of such funds.

Balances are due upon check-in. We accept all major credit cards, travelers checks, money orders and cash. Please send only one person in the office for check-in.

REFUND POLICY
“No Shows” will forfeit all deposits and be charged the entire balance due.
Report all maintenance issues immediately. They will be handled between daily between the hours of 9-5.

NO REFUNDS will be given due to early check outs, fear of heights, weather or road conditions, utility outages, pest control issues, maintenance issues or dislike of home furnishing. Inclusive of hot tubs, Jacuzzi’s or game tables.

RULES AND REGULATIONS
No house parties will be tolerated. Occupancy limits will be strictly adhered to. Please confirm that your unit will accommodate your party.
Homes are furnished and decorated according to the homeowners tastes. Do not assume that the home has all of the amenities that you require. Please leave all furnishings and decorations in their original position.

We reserve the right to relocate reservations due to owners requests or maintenance issues without notification of guests.

Pets are restricted only to those homes authorized by the homeowner. All pets ( including service animals) must be authorized by our office and will be subjected to a non-refundable fee of $50.00.
Linens and towels are placed in the home based on your reservations. There will be two sets of towels, wash cloths per bathroom and are for use in the home only. We ask that if you require more towels that you bring them with you.

Guest will be responsible for any damaged or missing linens. (Make-up, grease stains, etc.)
Fireplaces are operated October through March. No exceptions. Units with wood burning fireplaces are supplied a reasonable amount of wood at the homeowners discretion. Requests for additional firewood may result in additional charges to your account. Gas logs are not to be touched. If they have to be reset to work, there will be a $50.00 charge to your account.
Pest control is done on a monthly basis. However, this is the mountains and occasionally pests do make their way inside.

HOT TUBS, JACUZZIS AND SAUNA’S
Remember there are certain health risks associated with the use of hot tubs, Jacuzzi’s, saunas and or swimming pools. Each registered guest is responsible for informing their guests of the possible risks.

Each hot tub is sanitized and serviced for correct chemicals after each guest departs.
Hot tubs are for enjoyment only. DO NOT use any shampoo, bubble bath, etc. in the tub.
DO NOT SIT ON OR MISTREAT any hot tub cover. The cover is to be on the hot tub when not in use. A $300.00 charge will result in any damages done to the hot tub cover.

DEPARTURE RULES
Before leaving the home, please remove all linens from the beds, dispose of all garbage in the outside containers. Place all dirty dishes in the dish washer and turn on. If grill has been used, please remove all ashes. Make sure that ALL doors and windows are closed and locked. If you unhook the cable wires from TV’s to hook up game stations, please replace these wires. If this is not done there will be a $25.00 charge per TV. Please inspect home to make sure that you have taken all of your belongings. We are not responsible for any items left in the home.

Check-out is promptly at 11:00 AM at the office. NO EXCEPTIONS! There maybe a charge of $25.00 per hour that you are late, larger units maybe will be charged $50.00 per each hour late. NO PROATION.

All keys are to be returned to the office. There will be a $50.00 charge for each key not returned.
